Your role :
As an Associate Facilities and Administration you will be responsible for ensuring the functionality safety and quality of services within our office facility and the guest house premises. You will oversee a diverse range of administrative tasks to maintain an optimal office environment with a strong emphasis on costeffectiveness and operational efficiency. In addition you will manage and maintain our artwork inventory and ensure the confidentiality and proper handling of all artwork and customer samples. Your role will be crucial in supporting a well organized and secure workspace while enhancing overall operational performance.


What will you do

Key Responsibilities:
Oversee housekeeping cafeteria services travel arrangements logistics and events organization to ensure a wellmaintained and efficient office environment.
Manage guest house maintenance including overseeing cleanliness repairs and ensuring guest satisfaction. Conduct regular floor visits to identify and address any issues ensuring that daily observations are unique and not repetitive.
Ensure the safety of people and materials within the premises including organizing safety onboarding and refresher training for all employees. Follow proper documentation and data management procedures for the dispatch and receipt of any goods or documents from and to the office.
Ensure full confidentiality of all artwork and customer samples received maintaining secure and accurate inventory processes
Maintain an accurate inventory and manage procurement processes efficiently.
Ensure compliance with all statutory regulations related to the contract employment building premises and other relevant legal requirements. Establish and maintain effective communication with building owners for discussions and requirements.
Manage relationships with vendors and contractors including maintenance staff and janitorial services ensuring quality and reliability.
Oversee car parking arrangements with the respective authorities.
Develop and manage budgets for various facility needs and expenses implementing costsaving methods where possible.
Propose and execute new initiatives to improve operational efficiency and reduce costs.
Manage maintenance activities including preventive repairs and contracting maintenance services as needed.
Establish and maintain a comprehensive document repository for easy access to essential records.
Respond to emergency situations or other urgent issues involving the safety of premises and conduct property inspections and audits as needed

Requirements
