Job Description

The primary purpose of this role is to welcome visitors and provide a friendly reception area. This role will also have to operate the switchboard direct calls and respond to queries appropriately as well as ensure effective organisation of the meeting room bookings and preparation for meetings.

Key Performance Outputs
  • Greet and assist all visitors ensuring they are directed to the appropriate individuals and are comfortable while waiting.
  • Manage the switchboard by answering transferring calls and taking messages when necessary.
  • Maintain a neat and tidy office environment including monitoring the entrance and reporting any issues to the landlord or cleaning services.
  • Oversee meeting room bookings ensuring rooms are tidy and providing support for meetings including organising refreshments when requested.
  • Assist with administrative tasks such as filing updating the group contact list quarterly and managing access tag records.
  • Arrange travel bookings (flights car hire accommodation) in line with company policy including coordinating with the travel agency as needed.
  • Manage and reconcile monthly fleet card expenses ensuring logbook entries and slips are properly accounted for.
  • Handle ordering of office groceries cleaning supplies and stationery ensuring preferred suppliers are used.
  • Monitor and report office maintenance issues to the relevant parties.
  • Provide input and resolve meeting room scheduling conflicts to ensure smooth operations for internal and external stakeholders.

Requirements

Qualification/Experience
  • Senior certificate / grade 12 / Matric.
  • Office Administration Management certificate and/or relevant suitable tertiary qualification.
  • Minimum 2 years of work experience in similar role.
Functional/Technical
  • Computer literacy: MS Office (Excel Word PowerPoint).
  • Excellent Email etiquette.
  • Knowledge on how to work the switchboard.
  • Excellent communication skills; verbal and written.
  • Excellent planning organisational skills.
  • Building and maintaining good interpersonal relationships.
  • Detail and results orientated.
  • Ability to act with tact and discretion.
