Job description
Document Preparation and Collation:
- Prepare and format legal documents such as pleadings contracts agreements and correspondence.
- Review documents for accuracy.
- Collate supporting documents and exhibits for lawyer review before filing or submission.
- File electronic documents accurately with appropriate labeling.
Minor Document Drafting:
- Assist in drafting routine legal documents under lawyer supervision.
- Ensure correct formatting grammar and spelling in legal documents.
- Conduct research to gather information and assist in preparing draft content.
Email Review and Management:
- Review and organize incoming and outgoing emails.
- Flag important emails and summarize key details for lawyer attention.
- Maintain an organized email filing system for easy retrieval.
Attachment Management:
- Manage attachments and link relevant documents within the document management system.
- Create indexes for quick access to documents or relevant sections.
- Ensure attachments are properly labeled organized and accessible.
Preparatory Billing:
- Assist in preparing and reviewing billing statements and invoices.
- Verify billing entries for accuracy and completeness.
- Ensure timely and accurate billing.
Information Accuracy and Completion:
- Verify and ensure the accuracy and completeness of client and case information.
- Fill out forms and documents accurately following guidelines and legal requirements.
Phone or Email Communication:
- Communicate with clients and third parties via phone or email.
Requirements
- Proven experience as a legal assistant paralegal or in a similar role.
- Bilingual (English and Spanish)
- Strong understanding of legal procedures terminology and document preparation.
- Proficiency in Microsoft Office Suite and document management systems.
- Excellent written and verbal communication skills.
- Detailoriented with exceptional organizational and time management abilities.
- Ability to handle sensitive and confidential information with discretion.
- Strong research skills and the ability to gather information from reliable sources.
- Availability to work as a virtual legal assistant with a reliable internet connection and appropriate workspace.
