Job Description

This is a remote position.

The Program Administrator is responsible for managing the administrative aspects of multiple programs ensuring that they are delivered efficiently and effectively. This role involves coordinating with internal teams maintaining program documentation tracking budgets and providing support to program staff and participants. The ideal candidate is detailoriented has strong organizational skills and can manage multiple priorities simultaneously.


Key Responsibilities:

  • Program Coordination:

    • Assist in planning implementing and monitoring programs to ensure they meet objectives and deadlines.
    • Coordinate with program staff stakeholders and external partners to ensure smooth communication and collaboration.
    • Maintain accurate records of program activities participant information and other relevant data.
    • Schedule and organize programrelated meetings events and training sessions.
  • Administrative Support:

    • Provide administrative support to program managers and staff including managing calendars handling correspondence and preparing reports.
    • Draft edit and distribute programrelated documents such as newsletters manuals and promotional materials.
    • Maintain program documentation ensuring all files are organized and uptodate.
    • Assist in preparing presentations and reports for internal and external stakeholders.
  • Budget Management:

    • Monitor program budgets track expenses and ensure adherence to financial guidelines.
    • Assist in preparing budget reports and forecasts providing insights to program managers.
    • Coordinate with the finance department to process invoices reimbursements and other financial transactions.
    • Ensure compliance with financial policies and maintain accurate records of all financial activities.
  • Data Management and Reporting:

    • Collect and analyze data related to program performance and participant outcomes.
    • Prepare and submit regular reports to program managers and stakeholders highlighting key metrics and trends.
    • Maintain and update program databases ensuring data accuracy and integrity.
    • Support program evaluation efforts by providing data and insights for continuous improvement.
  • Compliance and Documentation:

    • Ensure all program activities comply with relevant regulations guidelines and standards.
    • Maintain uptodate documentation of program policies procedures and guidelines.
    • Assist in preparing grant applications proposals and other fundingrelated documents.
    • Manage the collection and storage of participant consent forms and other legal documents.
  • Participant Support:

    • Serve as a point of contact for program participants addressing inquiries and providing support.
    • Coordinate participant enrollment orientation and followup processes.
    • Handle participant feedback and resolve issues in a timely and professional manner.
    • Collaborate with program staff to enhance participant engagement and satisfaction.
  • Event Planning and Coordination:

    • Plan and organize programrelated events including workshops seminars and conferences.
    • Coordinate event logistics including venue booking catering and transportation.
    • Manage event registration track attendance and prepare event materials.
    • Ensure events are executed smoothly and meet program objectives.


Requirements

Qualifications:

  • Bachelor s degree in Business Administration Public Administration Project Management or a related field.
  • Proven experience as a Program Administrator Project Coordinator or similar role.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and project management software.
  • Experience with budget management and financial tracking.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and the ability to build and maintain relationships with stakeholders.
  • Familiarity with data management and reporting tools is a plus.

Qualifications: Bachelor s degree in Project Management, Information Technology, Business Administration, or a related field. Proven experience as an Implementation Lead, Project Manager, or in a similar role, with a strong track record of successful project delivery. Strong understanding of project management methodologies, including Agile, Scrum, and Waterfall. Excellent leadership and team management skills, with the ability to motivate and guide cross-functional teams. Exceptional client management skills, with the ability to build and maintain strong relationships. Strong technical background, with experience in software implementation, system integration, or IT project management. Excellent problem-solving and analytical skills, with the ability to navigate complex challenges. Strong organizational skills, with the ability to manage multiple projects and deadlines simultaneously. Proficiency in project management tools (e.g., MS Project, JIRA, Asana) and collaboration tools (e.g., Slack, Trello). Excellent written and verbal communication skills, with the ability to communicate complex concepts to both technical and non-technical audiences. PMP, PRINCE2, or other relevant project management certifications are a plus.
