Job Summary:

As the Office Admin/Executive Assistant youll be at the heart of our operations supporting our CEO and the entire team. Your role will involve managing administrative tasks ensuring smooth office functionality and contributing to our vibrant company culture. This is your chance to make a tangible impact in a growing company dedicated to sustainability.

Key Responsibilities:

Administrative Support:

  • Manage the CEOs calendar schedule meetings and assist in appointments.
  • Coordinate travel arrangements and accommodations for the CEO and team members.
  • Handle email correspondence draft and proofread documents and maintain organized files.
  • Submit receipts and expenses to accountants for financial tracking.
  • Manage staff leave requests.


Communication and Coordination:

  • Handle incoming calls inquiries and requests ensuring prompt and professional responses.
  • Support adhoc projects and tasks contributing to the companys growth and success.
  • Manage internal and external communications including drafting official communications and responding to inquiries.

Office Management:

  • Manage staff supply orders/ general procurement.
  • Ensure meeting rooms are prepared and necessary materials/ equipment are available.
  • Ensure the kitchen is stocked and coffee never runs out.
  • Organize team activities and drive our mandated team fun.


Optional Social Media Management:

  • Create and maintain the companys social media presence across platforms (Facebook Twitter Instagram LinkedIn.)
  • Develop and post engaging content including posts articles and visuals.
  • Monitor social media channels engage with followers and respond to inquiries.


Qualifications:

  • Proven experience as an office admin executive assistant or similar role.
  • Excellent organizational and time management skills.
  • Strong communication skills and proficiency in office software and applications (e.g. Microsoft Office Suite Google Workspace Slack).
  • Techsavvy with basic accounting abilities and a proactive problemsolver.
  • Attention to detail and the ability to multitask.
  • Enthusiasm and willingness to adapt in a dynamic startup environment.
  • A passion for sustainability and an understanding of the environmental impact of traditional packaging materials.
