Job Description

Job Summary: The Registrar is a key administrative leader responsible for managing academic records overseeing registration processes and ensuring compliance with academic policies and regulations. This role involves coordinating curriculum management maintaining data integrity in student information systems and collaborating with various departments to enhance student services and support institutional objectives.

Key Responsibilities:

  1. Student Registration and Enrolment:
    • Oversee and manage the student registration process including course enrolments schedule adjustments and withdrawal procedures.
    • Ensure timely and accurate processing of student registrations and updates including maintaining uptodate enrolment records.
    • Implement and refine registration procedures to enhance efficiency and user experience.
  2. Academic Records Management:
    • Maintain and safeguard comprehensive academic records including transcripts grades and student progress reports.
    • Ensure accuracy and confidentiality of academic records in compliance with institutional policies and relevant legal regulations (e.g. FERPA).
    • Provide transcripts enrolment verifications and degree certifications in a timely manner.
  3. Degree Certification:
    • Manage the process of degree verification and certification ensuring that all graduation requirements are met and degrees are awarded accurately.
    • Oversee the preparation and distribution of diplomas and certificates.
    • Collaborate with faculty and academic departments to verify degree requirements and resolve any issues related to graduation.
  4. Curriculum and Academic Policy Coordination:
    • Coordinate curriculum management processes including course catalogue updates program modifications and academic calendar planning.
    • Ensure that academic policies and procedures are communicated effectively to students and faculty.
    • Collaborate with academic departments to align curriculum management with institutional goals and regulatory requirements.
  5. Data Integrity and Student Information Systems:
    • Oversee the maintenance and integrity of student information systems ensuring accurate and reliable data management.
    • Implement data security measures and ensure compliance with data protection regulations.
    • Generate and analyse reports on academic performance enrolment trends and other key metrics as needed.
  6. Collaboration and Student Services:
    • Work closely with various departments including Admissions Financial Aid and Academic Advising to support comprehensive student services.
    • Provide guidance and support to students regarding registration issues academic policies and graduation requirements.
    • Develop and maintain effective communication channels with students faculty and staff to address inquiries and resolve issues.
  7. Compliance and Policy Enforcement:
    • Ensure compliance with institutional policies accreditation standards and regulatory requirements related to academic records and registration.
    • Monitor and implement changes to policies and procedures as needed to maintain compliance and improve operational efficiency.
  8. Administrative Duties:
    • Supervise and manage the Registrars office staff including recruitment training and performance evaluations.
    • Prepare reports and documentation for institutional planning accreditation and external audits.
    • Participate in institutional committees and contribute to strategic planning and policy development.


Requirements

Qualifications:

  • Bachelor s degree in Administration Education or a related field (Master s degree preferred).
  • Proven experience in academic administration preferably in a Registrar s office or similar setting.
  • Strong understanding of academic records management registration processes and relevant regulatory requirements.
  • Excellent organizational communication and interpersonal skills.
  • Proficiency in student information systems and data management software.
  • Ability to handle sensitive information with confidentiality and integrity.

Preferred Skills:

  • Experience with academic policy development and curriculum management.
  • Familiarity with data protection and privacy regulations (e.g. FERPA).
  • Experience in a leadership or supervisory role within an academic institution.

Work Environment:

  • The role is typically officebased with standard working hours although occasional evening or weekend work may be required for special events or peak registration periods.
  • The registrar s office frequently interacts with students faculty and administrative staff requiring strong interpersonal and communication skills.
