Reporting Structure:
Reports to the Executive Team with the CFO/Commercial Director as the direct line manager.
Responsibilities:
Manage administrative tasks for the executive team including office duties and collaboration with the HR team for HR administrative functions.
Administrative Support:
Organize executive calendars schedule meetings appointments and travel arrangements.
Coordinate meetings prepare agendas materials and meeting minutes.
Follow up on action items and ensure deadlines are met.
Prepare and edit reports presentations and documents.
Handle confidential information securely.
Coordinate cellphone contracts and maintain company insurance policies.
Support special projects and other assigned duties.
Office Management:
Supervise office operations including maintenance supplies and facilities.
Coordinate with cleaning staff and manage ITrelated queries.
HR Administration:
Prepare contracts KPIs and job specifications.
Manage HR mailbox teambuilding events and employee records.
Handle benefits visas onboarding and other HR tasks.
Job Skills:
Organizational skills time management attention to detail problemsolving multitasking deadline management resourcefulness learning agility decisionmaking trustworthiness professionalism and customer service are essential for this role.
Requirements
We are looking for a strong executive office and HR coordinator. This person does not have to have an HR diploma/degree (which is obviously beneficial) but must be a strong organizer and someone who can take charge and lead these duties.
