Phoenix House Foundation Inc is a leading nonprofit organization that provides residential and outpatient substance abuse and mental health treatment services. We are currently seeking a dedicated and organized Office Assistant to join our team in New York NY.
As an Office Assistant you will play a crucial role in ensuring the smooth and efficient operation of our office. You will be responsible for a variety of administrative and clerical tasks including but not limited to answering phone calls organizing and maintaining files scheduling appointments and providing general support to the office staff.
The ideal candidate for this position will have excellent communication and organizational skills as well as the ability to multitask and prioritize tasks effectively. You should also be proficient in Microsoft Office and have experience with office equipment such as printers and scanners.
Responsibilities:
Answer and direct phone calls to appropriate staff members
Greet visitors and direct them to the appropriate person or department
Sort and distribute incoming mail and packages
Maintain office supplies and place orders when necessary
Organize and maintain physical and electronic files
Schedule appointments and maintain calendars for office staff
Assist with preparing and organizing documents and reports
Provide general administrative support to office staff as needed
Requirements:
High school diploma or equivalent
Proven experience as an office assistant or in a similar role
Excellent communication and interpersonal skills
Proficient in Microsoft Office and office equipment
Strong organizational and multitasking abilities
Ability to work independently and as part of a team
Attention to detail and accuracy
Ability to maintain confidentiality and handle sensitive information
Prior experience in a nonprofit organization or healthcare setting is a plus
