Position Summary:
The purpose of this position is to support the daytoday operations of the SAMPLE COMPANY. The incumbent in this position will work closely with the Board of Directors Deputy Director and Executive Director to manage the office including record keeping database management and hygiene scheduling meeting preparation and support and coordination of the Executive Director and Deputy Director s activities.
Essential Duties and Responsibilities:
Executive Assistant Responsibilities
Assist Executive and Directors with projects research and tasks as needed.
Manage executives and Directors schedules and communications including the proactive arranging and scheduling of meetings events travel and breaks.
Draft key communications correspondences and presentations to and for the Board of Directors and committees.
Prepare and distribute briefing packets annual quarterly and monthly reports and other collateral as assigned by management
Arrange meetings for internal team that include Directors i.e. staff meetings and meetings among staff and/or Board members.
Manage the invitation process and follow up with Board Members and elected officials to attend events.
Office Management Responsibilities
Manage all general office management duties including work orders purchases office supplies general organization incoming and outgoing mail subscriptions vendors Mobile IT and phone accounts.
Set up and clean up after inoffice meetings.
Serve as internal subject matter expert for the software system ensuring that data within is current and usable running reports and analytics as required and ensuring that all team members understand the functionality and use of the system.
Input data into software system including but not limited to meeting notes research pertinent files donor sponsorship and membership contributions.
Provide event support to SAMPLE COMPANY staff and volunteers as needed.
Required Qualifications
Bachelors degree in business administration or a related field or equivalent experience.
Experience managing or supporting the internal operations of office management general support to externallyfacing leaders budget development and management project and contract management.
Proven ability to manage multiple projects on time and on budget simultaneously.

Computer literacy (word processing spreadsheets PowerPoint etc.).
