Job Description


The Service Coordinator is responsible for scheduling service technicians coordinating work orders managing client communication and tracking multiple projects for an industrial equipment manufacturer. This role ensures smooth operations in service scheduling part coordination and customer support contributing to the overall efficiency and customer satisfaction.


Shift: 1st Shift

Pay: $18$20/HR

Key Responsibilities:

  1. Scheduling and Coordination:

    • Schedule and dispatch service technicians for maintenance repairs and installation jobs.
    • Coordinate work orders and ensure timely completion of service tasks.
    • Monitor technician schedules and adjust as needed to accommodate urgent requests or changes in priority.
  2. Client Communication:

    • Maintain regular communication with clients to update them on the status of their service requests.
    • Handle incoming calls and emails providing excellent customer service and resolving any issues or concerns.
    • Coordinate with clients to ensure all necessary information is gathered before technicians are dispatched.
  3. Project Management:

    • Track and manage multiple service projects simultaneously ensuring deadlines are met and resources are efficiently allocated.
    • Maintain detailed records of service activities project statuses and client interactions.
    • Prepare and present regular status reports on ongoing projects and repairs.
  4. Parts and Inventory Coordination:

    • Work closely with service technicians to identify and order needed parts and materials.
    • Manage inventory levels to ensure availability of parts for scheduled service jobs.
    • Coordinate with suppliers and vendors to expedite orders and resolve any supply chain issues.
  5. Administrative Duties:

    • Update and maintain the service database with accurate and uptodate information.
    • Generate and process invoices work orders and other servicerelated documentation.
    • Assist in developing and implementing service policies and procedures to improve operational efficiency.

Working Conditions:

  • This role is primarily officebased with occasional visits to client sites or warehouses.
  • The position may require occasional overtime to meet urgent client needs or project deadlines.

Requirements

  • Education: High school diploma or equivalent; Associates or Bachelors degree in Business Administration Management or related field preferred.
  • Experience: Minimum of 2 years experience in a service coordination or customer service role preferably in the industrial equipment or manufacturing industry.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in using scheduling software and Microsoft Office Suite (Word Excel Outlook).
    • Ability to handle stressful situations and work under pressure.
    • Detailoriented with strong problemsolving skills.

Required Skills/Abilities: Excellent communication skills including active listening. Service-oriented and able to resolve customer grievances. Proficient computer skills with the ability to learn new software. Knowledge of, or ability to learn, product, service, or area of customer service specialization. Education and Experience: High school diploma or equivalent. Customer service experience is required. Some experience with the product or service to which the specialist will be assigned preferred.
