Hours: work to be done to approximately 20 hours per week minimum.
Pay Rate: $30$35/hr

Job Summary:
Responsible for ensuring the accuracy of employee timecards and for submitting adjustments for two biweekly payrolls for salary and hourly employees; for pension and benefit plan administration; for submitting Pension contributions to Plan Provider and Union Dues Information to Local Union Office; for running additional payroll reports as needed and for providing information to government offices.
Working Conditions:
Hours of work: 4 hours per day (Monday to Friday)
Much of the role will be spent in a general office environment.
Occasional visits may be required to the Manufacturing facility were safety
shoes protective eyewear and hearing protection will be required
Working collaboratively in a team environment with internal customers and
stakeholders are a must.
Duties & Responsibilities:
Payroll
Submit timecards and required adjustments to ADP so that two biweekly payrolls (including a combination of 250 unionized hourly contract salaried employees across Canada and Japanese expats) is processed according to time deadline.
Verification of timecard accuracy and correct payroll inputs (hours overtime
premiums leaves of absence STD vacation retro pay bereavement bonus
payments etc.)
Ensure timecard approvals prior to payroll submission
Verify correct employee set up on ADP
Ensure all payroll deductions are correct (statutory deductions garnishments
family support benefits pension union dues etc.).
Process employee rate adjustments and wage progressions.
Prepare any required records of employment.
Assist employees with payroll related inquiries resolve discrepancies as
necessary.
Set up new labor codes as required in ADP.
Prepare remittances for WSIB Union dues Union billings
Perform ADP payroll orientation for new employees.
Provide ADP WFN training to Managers and Supervisors.
Prepare required internal reports for Management such as but not limited to
overtime and vacation
Reconciliation of Employee Vacation Accruals
Manage Employee Vacation Top Up Process
Assist with preparation of annual Vacation Entitlement Document for unionized
employees
Determine Japanese Expats pay calculations (net to gross).
Complete CPP/EI discrepancy check in October to determine if any amounts
owing from Employee
Prepare T2200s for applicable employees
Assist ADP with Year End reconciliation process
Liaison with ADP to troubleshoot payroll system problems.
Participate in Internal and External Audits.
Ensure payroll calendar is prepared and updated in ADP system
Ensure the Holiday Scheduled is updated in ADP system
Ensure wage schedule in ADP is updated annually for unionized positions
Updating of required provincial employee and employer premiums in ADP (i.e.
WSIB WCB EHT CPP EI etc.)
Download all processed payroll reports to NTN database after each pay
Tracking of taxable benefits amounts for employees
Work with Finance department to ensure proper tracking of car allowances and
vehicle taxable benefits for applicable employees
Maintain accurate payroll records (electronic or paper)
Group Insurance Benefits
Administration of the Group Benefit Plans including enrollments terminations
claims inquiries premium statements ADP reconciliation against premium
statements.
Input employee rate changes for Benefits coverage
Update benefit coverage for qualified overaged dependents.
Management of the Health Care Spending Account
Manage the group benefits contract renewal process under the guidance of the
VP of HR and Operations
Other administrative requirements or reports as necessary
Pension / RRSP / TFSA
Enrolment of eligible employees into appropriate Plans
Remit employer and employee pension contributions to Plan Provider.
Remit employee RRSP and TFSA contributions to Plan Provider.
Complete required reports and perform required reconciliations i.e. Form 7
Report and Pension Summary Report
Terminate members from Pension Plan at end of employment
Other administrative requirements or reports as necessary

Adhere to all Company policies and procedures including safety policies and
procedures; always demonstrate safe work practices.
Develop and maintain systems and procedures to improve the accuracy
efficiency and delivery of company payroll programs/services; develop metrics
for measurement of the above.
Ensure compliance and keep current of related payroll legislative changes
affecting the workplace provide education training and guidance to affected
employees regarding any legislated changes.
Adhere to relevant Articles in Union Collective Agreements
Develop and maintain Payroll Benefits and Pension work instructions and
procedures
Other duties and responsibilities as assigned.
Knowledge Skills and Abilities:
Strong Knowledge of ADP Workforce Now Payroll System.
Proficient in Canadian payroll best practices.
Strong working knowledge of provincial Employment Standards Acts and
Canadian payroll legislation.
Understanding of the Union Collective Agreements for the Companys two
divisions
Intermediate computer skills Office 365 (Word Excel PowerPoint) Internet
Lotus Notes. High proficiency with MS Excel
Ability to prepare and deliver presentations
Excellent verbal and written communication skills.
Excellent interpersonal skills and professionalism to interact effectively with
employees at all levels of the organization.
Ability to deal with a variety of employee inquiries and frontline payroll issues.

Education and Professional Experience:
Previous work experience with ADP Workforce Now payroll system.
CPM designation with the Canadian Payroll Association an asset.
35 years progressive payroll experience in a mediumlarge size Organization
with employees across Canada
Experience with processing of payroll in a unionized environment
