Job Description

Job Title: Secretary

Location: Philadelphia PA

Department: Office

Job Type: FullTime

Job Summary:

We are seeking a highly organized and efficient Secretary to join our team. The ideal candidate will perform a variety of administrative and clerical tasks to support our office and ensure smooth daily operations. The Secretary will be the point of contact for internal and external communications handling correspondence managing schedules and maintaining records.

Key Responsibilities:

  • Administrative Support:

    • Manage and coordinate schedules appointments and meetings for executives and team members.
    • Prepare format and edit documents reports and presentations.
    • Handle incoming and outgoing correspondence including emails letters and phone calls.
    • Maintain and organize office filing systems both electronic and paper.
  • Communication:

    • Act as the first point of contact for visitors and callers providing excellent customer service.
    • Coordinate and communicate with internal departments and external stakeholders.
    • Take meeting minutes and distribute them to relevant parties.
  • Office Management:

    • Order and manage office supplies ensuring the office is wellstocked and organized.
    • Coordinate office maintenance and repairs as needed.
    • Assist with travel arrangements and itineraries for staff.
  • Data Management:

    • Maintain accurate records and databases ensuring data integrity and confidentiality.
    • Assist with data entry and processing tasks as required.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.

  • Excellent organizational and timemanagement skills.
  • Strong written and verbal communication skills.
  • Attention to detail and problemsolving abilities.
  • Ability to work independently and as part of a team.
  • Professional demeanor and ability to handle confidential information.
