Job Summary: We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will provide comprehensive support for various administrative tasks including documentation Request for Proposal (RFP) processing payroll and reimbursement management and updating of reports. This role is critical in ensuring the smooth and efficient operation of our administrative functions.
Key Responsibilities:
- Documentation Support:
- Prepare format and manage documents and correspondence.
- Maintain organized and uptodate filing systems both physical and electronic.
- Ensure accuracy and completeness of all documentation.
- Request for Proposal (RFP) Processing:
- Assist in the preparation and submission of RFPs.
- Coordinate with relevant departments to gather necessary information for RFPs.
- Track and follow up on submitted proposals.
- Payroll and Reimbursement Management:
- Assist in the processing of payroll by collecting and verifying timekeeping information.
- Handle employee reimbursements ensuring compliance with company policies.
- Maintain payroll and reimbursement records.
- Updating Reports:
- Compile and update various reports on a regular basis.
- Ensure data accuracy and timely reporting for internal and external stakeholders.
- Assist in the preparation of presentations and summary reports as needed.
- General Administrative Duties:
- Answer and direct phone calls emails and other inquiries.
- Schedule and coordinate meetings appointments and travel arrangements.
- Provide support for office management and other administrative tasks as assigned.
Qualifications:
- Education: Collegelevel coursework related or a degree in business administration or a related field is preferred.
- Experience: Previous experience in an administrative role is advantageous.
- Skills:
- Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
