Job Description

1. POSITION TITLE
Job Title : Executive Assistant MD
Reporting to: MD
2. POSITION FUNCTIONS & RESPONSIBILITIES
TRIGO Representative on Site
Calendar and Schedule Management:
Manage the MDs calendar coordinating appointments meetings and events.
Prioritize and schedule commitments effectively to optimize the MDs time and productivity.
Ensure all necessary materials and information are prepared for each engagement.
Communication and Correspondence:
Handle incoming calls emails and messages on behalf of the MD responding when appropriate or redirecting to the appropriate parties.
Draft review and proofread correspondence reports and presentations as required.
Maintain clear and efficient communication channels within the organization.
Travel and Logistics:
Arrange and coordinate domestic and international travel arrangements for the MD as necessary.
Organize accommodations transportation and other logistics related to business trips.
Meeting Support:
Prepare meeting agendas collate materials and distribute relevant documents in advance of meetings.
Attend meetings take minutes and provide followup on action items to ensure timely execution.
Project Management:
Assist the MD in tracking and managing various ongoing projects and initiatives.
Collaborate with other departments to ensure crossfunctional projects are progressing smoothly.
Job Title EA MD
Confidentiality and Discretion:
Handle sensitive and confidential information with the highest level of discretion and confidentiality.
Relationship Management:
Conduct research and compile data as requested by the MD.
Assist in personal tasks or responsibilities if required.
2. POSITION REQUIREMENTS
Bachelors degree in Business Administration Management or a related field (preferred) computer literacy.
Good on Excel analysis word ppt.
Proven experience as an Executive Assistant or in a similar administrative role.
Exceptional organizational skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills.
Proficiency in using office productivity software.
High level of professionalism integrity and discretion.
Flexibility and adaptability to handle changing priorities and deadlines.
Knowledge of the industry or field the company operates in is advantageous but not mandatory.
Good in English both written & verbal
Courteous to talk.
Ability to Technically assist will be added advantage.
