We are looking to hire a motivated individual with an obsession for team success in the company they work for. This position will be responsible for supporting teams and executives in the daily tasks that need a subject matter expert with a passion for success.
Job Duties
- Exemplary demonstration of clients values in all areas of performance.
- Reconcile credit card charges submitting receipts and validating expense reports for timely submission.
- Work with Project Managers to communicate with clients regarding outstanding invoices follow up for payment and initiate mechanics liens.
- Work with Supply Chain team to process accounts payable invoices seek invoice approvals from management and assist in ontime payment to suppliers.
- Provide highlevel administrative support to the COO including calendar management travel coordination drafting memos and emails scheduling appointments and coordinating meetings and conference calls with internal and external parties strategically.
- Coordinate administrative and logistics items for corporate events and parties client meetings and industry conferences. Assist in event planning including venue selection catering arrangements and attendee management. Prepare and modify documents including letters memos reports and presentations.
- Assist with the preparation of financial documents such as invoices expense reports and budget spreadsheets.
- Order office supplies as requested and help to create and maintain a pleasant and efficient work environment.
- Handle sensitive and confidential information with discretion.
- Assist in updating and maintaining office policies and procedures manuals such as HR documentation.
- Conduct research and compile data as requested.
- Other duties as assigned.
Required experience:
- Previous experience: 12 years minimum
- Education: Office administration or related discipline and certifications preferred
- Office365 software: expert level
- Strong attention to detail and communication skills
