Job Description

The Site Admin Clerk will provide essential administrative and clerical support to ensure the efficient operation of the site or office. The role requires utilizing knowledge of systems and procedures to facilitate smooth operations.

KEY RESPONSIBILITIES

Timekeeping & Documentation

  • Ensure the timely submission of all timesheets to the Head Office weekly with correct allocation of hours and overtime.
  • Monitor and record timekeeping absenteeism sick leave incidents on duty (IOD) and other timerelated discrepancies on timesheets.
  • Obtain and verify correct signatures on relevant documents.
  • Complete necessary termination and transfer documentation.
  • Notify the HR Department of employees with excessive absenteeism or those who are absent without leave (AWOL).
  • Complete and submit engagement forms termination forms and contract renewals to the office.
  • Liaise appropriately with internal staff.
  • Manage and maintain the timekeeping system.
  • Conduct physical checks on the labor force and record individual activities on timesheets; submit these to the office.
  • Compile reconcile and send timesheets to payroll weekly.
  • Provide administrative support to the project manager and other construction staff.
  • Act as a liaison for the contractor subcontractors various construction teams and site personnel.
  • Monitor and record attendance of site labor force ensuring they clock in and out on the authorized attendance register.

Material / Plant Transfers

  • Ensure that materials transfer books and bulk material registers are completed with the correct information and authorizations.
  • Monitor deliveries to the site.
  • Ensure correct codes are allocated to materials.
  • Maintain all asset registers on site.
  • Control delivery invoices.

General

  • Assist with document control duties in the absence of the Document Controller.
  • Supervise the site office cleaner.
  • Perform any other adhoc duties as required.

Administration

  • Type general correspondence for Site Management as required.
  • Handle faxing emailing and filing of all site documentation.
  • Assist Management with meeting preparations including teas coffees and refreshments.
  • Maintain the project filing system according to policy.
  • Organize and schedule appointments.
  • Check and distribute documents and correspondence.
  • Maintain filing systems.
  • Photocopy and scan documents.
  • Send emails.


Requirements

  • Grade 12 or Equivalent.
  • Computer Literate.
  • Proven record of administrative experience.
  • Excellent administrative skills.
  • Basic administrative clerical qualifications.
  • A University Certificate or Diploma in a relevant field is advantageous.
  • Adminrelated qualifications or training are preferred.

COMPETENCIES

  • Broad understanding of current construction practices methods and materials.
  • Knowledge of construction site administration.
  • Excellent interpersonal communication skills.
  • Familiarity with construction scheduling techniques.
