As an Entry-Level Travel Assistant, you will provide essential support to travel professionals and help ensure smooth travel arrangements for clients. Your responsibilities include:
1. Administrative Support:
- Assist in administrative tasks such as data entry, document filing, and record-keeping.
- Maintain organized travel files and client databases.
2. Booking and Reservations:
- Assist in booking flights, accommodations, car rentals, and other travel-related services.
- Confirm reservations and send booking details to clients.
3. Communication:
- Communicate with clients and travel partners via email, phone, and in-person as needed.
- Handle inquiries, provide basic travel information, and address client concerns professionally.
4. Itinerary Preparation:
- Assist in creating travel itineraries based on client preferences and travel agent guidance.
- Ensure accuracy and completeness of travel documents.
5. Travel Documentation:
- Help clients with travel documentation, including passport and visa requirements.
- Provide information on entry regulations and safety guidelines.
6. Customer Service:
- Provide excellent customer service by promptly responding to client inquiries and requests.
- Assist clients with travel-related issues during their trips.
7. Budget Management:
- Support clients in managing their travel budgets and offering cost-effective solutions.
- Assist with payment processing and invoicing.
8. Research and Learning:
- Stay updated on travel industry trends, destinations, and regulations.
- Assist in researching travel options and preparing recommendations for clients.
9. Travel Coordination:
- Collaborate with other team members to coordinate group travel arrangements.
- Assist with logistics for special events, conferences, or group tours.
10. Training and Development:
- Participate in training programs to improve knowledge of travel procedures and systems.
Qualifications:
- High school diploma or equivalent; a degree in tourism or related field is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Attention to detail and accuracy in handling travel documents.
- Proficiency in basic computer applications, including email and office software.
- Ability to work well in a team and under supervision.
- Willingness to learn and adapt to new travel technologies and systems.
