Job Description

Experienced Executive Virtual Assistant for a Busy Entrepreneur


Job Summary and Ideal Applicant Qualities


We are looking for a dynamic self-starter with great organizational, written communication, attention to detail, and research skills to help a busy entrepreneur with operations and client management.

The ideal candidate is upbeat, organized, and flexible enough to learn and figure out how all the pieces and resources can be arranged for maximum productivity. They will anticipate obstacles and deliberate with care. The discipline they bring will enable them to take direction, follow through, and make the corrections necessary to stay on track.


Main Tasks / Responsibilities


As an important part of our team, you will be responsible for managing different tasks related to our coaching services.

  • Client intake and onboarding coordination.
  • Provide exceptional customer service. You are the face of our business. While professionalism is paramount, warmth and a welcoming personality is also important.
  • Client and prospect appointment scheduling in various time zones.
  • Manage meeting agendas.
  • Manage and update the contact list and CRM (ClickUp).
  • Provide customer service as the first point of contact
  • Document proofreading and editing.
  • Variety of ad-hoc administrative tasks.


Requirements and Qualifications:


  • Excellent English comprehension and writing abilities
  • Have a keen eye for reviewing and editing the details of all communication and written documentation; have the ability to create detailed instructions.
  • Work with priorities. Competitive candidates know that deadlines are the lifeblood of keeping a successful business going. The EA is committed to task completion on time.
  • Prior ClickUp experience (basic intermediate) is required. Equivalent experience in a robust task management system will be considered.
  • Microsoft Office Suite, in particular, Word, Excel, and PowerPoint.


Skill preferences (not required, but would be a PLUS):

  • Advanced ClickUp knowledge superseding the required intermediate knowledge.
  • Professional background in copywriting, proofreading, and editing.
  • Degree in communication, English, or related fields.


Budget and Hours

  • $10 to $12 per hour, 20 hours + per week, with potential for more hours.
  • Eastern Standard Time. While the schedule is partially flexible, daily engagement is expected, and bi-weekly meetings are held in EST.
