Job Description

Our client, a Dallas area law firm, has an excellent opportunity for an experienced Legal Secretary to work with our litigation group. This is a non-exempt position that reports to the HR Manager and collaborates regularly with the attorneys and staff. The job responsibilities encompass performing overall legal secretarial and general administrative tasks, including:


  • Delivers excellent work and superior service to the Firms clients; contributes to the Firms reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of five or more attorneys.

  • Communicates with attorneys and assists in balancing the teams workload to ensure completion of projects within established time frames and quality standards; seeks guidance from the Human Resources Manager as necessary.

  • Prepare various legal documents and correspondence such as summonses, complaints, motions, and subpoenas specific to the practice area of the attorney and or legal assistant.

  • Assists with opening and closing of client matters.

  • Preparation of exhibits and trial notebooks, scheduling depositions, court reporters and videographers.

  • File documents, order certificates and perform searches with the Texas Secretary of State, and also work with vendors for corporations that are formed outside of Texas.

  • Administrative support includes answering phones and routing calls, transcribing dictation, maintaining multiple attorney calendars, coordinating travel arrangements, entering attorney time, billing, preparing expense reports, organizing, and coordinating meetings and conferences.

  • Preparing closing binders for corporate transactions and assisting with post-closing matters.

  • Organizes and maintains client files and form files.

  • Assists with billing/edits; enters attorney time into time entry system as requested.

  • Perform other duties as assigned.


Requirements:


  • High school diploma or general education degree (GED)

  • A minimum of three (3) years of law firm experience required, supporting a minimum of five attorneys.

  • Advanced skills with Outlook and Word (using styles, track changes and document comparison programs). Demonstrated proficiency with Excel and PowerPoint. Advanced skills with Adobe Acrobat. Proven aptitude to learn new software applications.

  • Knowledge of appellate, federal, and state court systems, including appellate and federal e-filing and state court online filing systems required.

  • Interpersonal communication skills necessary to maintain effective relationships with partners, attorneys, clients, and staff in person, by email and telephone. Ability to provide a high level of customer service and be able to clearly and effectively communicate both verbally and in writing.

  • Must be detailed oriented, able to work independently and in a team environment and able to implement high priority projects.

  • Fundamental knowledge of legal terminology, court rules and procedures.

  • Must have great attention to detail


This role is hybrid, 2 remote days per week and 3 days in the office. The firm also allows employees to dress casual when in the office.
