Job Description


Seeking an Executive Assistant (C-Suite) for an investment management client in the Galleria area (Houston, Texas).




  • Role is Hybrid (3 days per week in office / 2 days WFH) Galleria area

  • Base Salary range of $84k - $96k DOE plus 10% bonus opportunity and excellent benefits



This role is responsible for performing all administrative functions required by the President. Provide backup administrative support to C-suite executives and assist other executive assistants, as necessary.



Education / Experience



  • Bachelor's degree strongly preferred.

  • Minimum of ten (10) years of administrative work experience at the executive or C-level required.

  • Proficiency in Microsoft Office and other applicable systems

  • iManage experience is a plus.



Job Description



  • Responsible for planning, coordinating, and managing executive and company retreats, holiday parties, and other special events.

  • Review invoices and provide the accounting department with payment information as required

  • Attend and record minutes and action items in senior management staff meetings.

  • Manage offsite storage for records retention and destruction in keeping up with automated dates

  • Prepare expense reports and reconcile pCards for President and Chairman/CEO

  • Manage President's calendar, with duties to include, but not be limited to, scheduling, creating itineraries, presentation materials, and all other meeting-related items

  • Make all travel arrangements as required for the President and others if requested.

  • Represent the company at highly visible and prestigious events

  • Responsible for office management duties including office moves, procurement of office furniture, artwork, office maintenance, and other related duties

  • Screen incoming calls and open, sort, and route President's mail as directed.

  • Assist with charity donation requests.

  • Perform various other special project duties or tasks as assigned from time to time by the President.
