Document Management Specialist - Full-Time or Part-Time

Primary Job Purpose:
The Document Process Specialist supports general department functions and/or operates and maintains equipment used in automated mailing and imaging processes, including shipping of packages and freight items. Equipment may include inserters, sorters, document scanners and/or other mail processing machinery. Attention to detail is crucial when preparing both incoming and outgoing mail, and packages and freight, to meet quality requirements. All work must be processed within the established workload priority turnaround schedules.
Responsibilities:
Operates, controls, and monitors PC-based mail processing equipment which may include inserters, sorters, meters and other equipment. Must operate all assigned equipment to achieve average efficiency at no less than 85% of manufacturers rated machine capacity.
As documents are received by Cambia, it is the responsibility of the specialist to ensure clarity of the image, which may require adjustments by the specialist or technical assistance.
May perform fulfillment, inventory/records management, or other department support functions. Must also maintain an error ratio at less than 5% of total monthly production volume.
Performs daily preventive maintenance and minor equipment repairs and schedules vendor maintenance as needed to ensure equipment reliability.
Documents and reports to the Lead and/or Supervisor all problems that interfere with daily production.
Maintains a sufficient amount of postage in the postage meters, and records accurate meter readings on the appropriate spreadsheets.
Records and documents all incoming daily work to ensure timely and accurate turnaround of mail processing, based on mailing standards and procedures and Cambia internal customers requirements.
Maintains adequate stock of supplies and envelopes needed for daily processing of mail.
Verifies daily, the accuracy and quality of all jobs processed for mailing to ensure proper document attributes (correct inserts, delivery envelope, address placement, proper logo and formatting, indicia quality, postage amount and date, postal barcode, etc.).
Keeps abreast with USPS regulations to ensure that all mail is in compliance with postal standards.
Maintains the confidentiality of material mailed daily to members and providers as well as material that is presented for scanning. The quality and security of production is required to maintain efficiency.
Keeps up to date on changes to the HIPAA laws. This requires reading and the ability to comprehend the changes and apply them as appropriate. Continually maintains the cleanliness of assigned equipment and all associated work areas.
Minimum Requirements:
High School education, G.E.D., or equivalent
One year of Print & Mail Center, Imaging Center or related experience (such as preparing and scanning incoming membership documents and other corporate records), preferably in a production environment
Confirmed PC skills
Basic math skills
Proficiently operate 10-key adding machines or calculators
Ability to understand, follow, and perform detailed work procedures under pressure with neatness and accuracy
Ability to maintain flexibility in working hours
Ability to perform arduous and/or repetitive physical tasks
Ability to stand or walk for prolonged periods of time
Demonstrated organizational skills
Ability to maintain excellent attendance
Valid state drivers license may be required
Basic pallet jack, forklift skills desired
Work Environment:
Overtime hours to maintain department workload priority turnaround schedules.
Work is performed in a high-volume yet professional processing environment.
Duties are performed by standing and walking back and forth constantly 50-100% of the day while monitoring the equipment for maximum efficiency.
