Job Description

For our Client in Diegem, an upmarket hotel with event spaces, we are looking for aHR COORDINATOR.

Your day to day responsibilities:

PEOPLE

Help create a positive work environment for all employees. Support and administer an annual team member satisfaction survey.
Ensure Staff and Manager awareness of HR policies and procedures
Create a news flash every day to keep staff informed of all important news.
Publish a PowerPoint in the canteen in which the news flash, new employees, birthdays and other important documents are published.
Assist with progressive discipline processes in accordance with hotel or company policies including progressive disciplinary process, performance management process, and related programmes to foster productivity and enhance performance by providing constructive feedback.
Every week, inform all heads of departments of the employees who will be joining or leaving the team the following week.
Conduct new team member orientation providing information on hotel or company standards, policies, procedures, rules and team member benefit programmes. Manage induction program.
Make sure that everything is arranged before the arrival of a new employee. Onboarding of a new Team Member.
Welcome a new employee with open arms and facilitate him or her with all the necessary information.
After the arrival of a new employee, you register all data in our online environments.
After the departure of employees, ensure that all hotel belongings are handed in and that the checklist is completed.
Maintenance of accurate and up-to-date personnel files and records for all employees.
Ensure hotel or company hiring standards and applicable laws and regulations are followed in a timely manner for recruiting and selection processes. Build relations with outside contacts.
New emails arrive in the recruitment mailbox every day. Answer all questions and schedule job interviews where necessary.
Assist Hr Manager in conducting interviews.
Organize staff events such as end-of-year party, activities,...
Organize trainings and assists in the development of all staff members, whether with internal or external trainings: issue invitations to attend programs, maintain records of training attendance, implement Orientation, promote and facilitate cross training, job rotation and multi skilling
Responsible for the regular updating of the Heart of House (employee corridors/areas)
Manage standardized responses to correspondence
Make and update job descriptions. Manage the on-line recruitment through the web sites used. Post open positions on the internal and external job boards and channels. Actively recruit and do a first selection and interview of candidates. Follow up with the recruitment communication. Also, adherence to pre, during and postemployment checklists.
Keeping track of absenteeism.
Keep track of vacation requests and make sure everyone adheres to the correct number of vacation days.
Every month there are birthdays and work anniversaries, make sure the General Manager knows which ones, make birthday vouchers and work anniversary certificates.
Mange the interim recording.

GUEST EXPERIENCE
Assist in creative ways to inspire and motivate team members to provide guests with a unique experience.
Make time to interact with guests to solicit feedback and build relationships to understand how team members can increase guest satisfaction.

RESPONSIBLE BUSINESS
Help develop awareness and reputation of the hotel and the brand in the local community and promote team member involvement in local community.
Research and investigate all workplace issues to discover facts, identify potential risks to the hotel or company, and facilitate resolution through your employee relations programmes.
Assist Managers in developing work practices that are in line with health and safety policies and manage rehabilitation programs
Collect and maintain data from exit interviews, turnover statistics, absenteeism reports to identify trends, training needs, and supervisory issues.
Visit schools on a regular basis to build connections
Data base management.
Print the shift codes for the whole week and put them at the emergency point.
Check monthly whether the first aid kits of the departments need to be replenished.
Register the hours request for the interims.
Check and note the number of hours for which the interims have signed.
Interims must of course be paid. Check whether the number of hours per interim on the invoice corresponds to our registered hours. Are these correct? Then sign the invoice and add the signed forms as proof.
Provide the kitchen with the number of staff per day for the following week. This way they now how much food needs to be made.
Update and check the tracking file very week.
You have a clear overview of what needs to be done. Keep following up where necessary.

Requirements

Profil

Bachelor Degree in Office or HR Management
Additional 1 or 2 years related experience in HR is an asset
Great communication skills
Good knowledge of Belgian social legislation
Must speak and write fluent Dutch and English
Knowledge of French is preferred
Any other language is an asset
Flexible and proactive personality
Discreet
