Job Description

JOB DESCRIPTION FOR A VIRTUAL ASSISTANT

Our client is a full-service creative, production, and fulfillment company. We are looking for an experienced and diligent Virtual Assistant to join our team. The main responsibility of a Virtual Assistant is to provide a wide range of support services to the executive. The Virtual Assistant will perform a full range of highly responsible, complex, sensitive, and confidential administrative, secretarial, advanced clerical, and programmatic support functions of a general or specialized nature in support of the executive and executive assistant with only occasional instruction or assistance exercising judgment and initiative. This position will require you signing a Non-Disclosure Agreement.

The successful candidate will help build the client s best practice process to streamline their workflow and systematize the business.


To be a Virtual Assistant:

Graduate of any Bachelor s degree.
Minimum of 3 years proven work experience and track record as a Virtual Assistant or similar administrative support role is strongly preferred.
2 years of proven hands-on experience with office management systems, CRM software, Google Suite, and other applicable software.
Confident working knowledge of QuickBooks Online is preferred.
Exceptional communication and written skills.
Extensive knowledge of principles and practices of office administration.
Proven hands-on experience exercising discretion and confidentiality with sensitive company information.
Top-notch organizational skills with an ability to think proactively, multitask and prioritize daily workload.
Exceptional conceptual thinking, resourcefulness, diligence, attention to detail and creative problem-solving skills.
Highly organized with top-notch ability to work with limited supervision.
Adept at meeting deadlines in a fast-paced quickly changing environment.
Technologically proficient and has in-depth knowledge with online calendars and/or cloud system.
Exceptional time management, leadership, and organization skills.
Advanced knowledge of principles and practices of sound business communication.
Strong math capabilities as this position will require quoting and writing order estimates.
Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices.
Extensive knowledge of customer service and public relations methods and techniques.
Exceptional knowledge of methods and techniques of proper phone etiquette.
A team player with the initiative to step up into the leadership responsibilities when the need arises.

Your Responsibilities as a Virtual Assistant:

Daily monitoring and management of all incoming and outgoing business communications.
Respond to all incoming business communications only for customers assigned to you.
Devise and maintain a document filing system.
Organize and update records, reports, and other administrative files.
Conduct online research and data collection, as needed.
Data Entry - Estimates in QuickBooks will be majority.
Assist with projects and other related tasks or duties as requested.
Communicate with Executive Assistant as needed for ongoing projects and review.
Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports.
Proofread, verify, and review materials for accuracy, completeness, and conformance with established standards, regulations, policies, and procedures; ensure materials and documents are accurate and complete before submitting for final review.
Other administrative and clerical tasks as assigned.
