Title: Support Specialist II (German)

Location: Greer SC 296514

Shift Hours: Standard Work Hours

Duration: Long Term Role

Day to day: Responsible for calendar management. In addition will manage office related topics and steer the department budget. Will attend department meetings and record meeting minutes. They will not moderate the meeting but will also prepare the presentation and organize the meetings. Responsible for entering purchase orders for the department. Will align with the central team in Germany on topics.

Must have: Fluent in German (either native speaker or certified in German language) good time management and organizational skills need someone who is self motivated and team player

Nice to have: Previous automotive industry experience would be ideal (in particular; internal quality or ISO standards experience)

I. Position Purpose/Scope: What are the key objectives of the position

  • Provides administrative support directly to assigned area with confidentiality tact and diplomacy.
  • Assists Plant Spartanburgs Vice President as needed. Manages all office activities without supervision.

II. Position Responsibilities/Accountabilities: List the major duties/accountabilities to achieve the positions key objectives.

  • Prepares documents such as an agenda notices minutes and presentations for Senior Management Meetings.
  • Uses business software applications (e.g. word processing presentations and spreadsheets to repares routine and advanced correspondence including memoranda letters presentations and reports.
  • Arranges complex and detailed travel plans and itineraries and compiles documents for travelrelated meetings.
  • Processes P.O.s and requisitions in SAP.
  • Interfaces with Clients AG.
  • Screens incoming phone calls and correspondence and prioritizes and responds independently when possible.
  • Schedules and organizes activities such as meetings meeting documentations and video conferences.
  • Updates targets the Clients Target Management System.
  • Serves as primary Time Administrator for the VP area.
  • Assist with department budget training records travel arrangements expense reports office supplies and record retention.
  • Handles confidential information and material.

III. Position Competencies:

A) Education:

Associate degree. BA/BS Degree preferred.

B) Experience:

A) Experience: 5 years of office management or administrative support managing tasks independently and working with confidential information.

B) Training: As applicable per BMW training guidelines.

C) Fluent German Language preferred.

D) Licenses and/or Certifications:

Valid drivers license may be required based on department.

Notary Public preferred.

E) Knowledge/Skills/Abilities: Basic less than 1 year of experience/training needed; Intermediate 1 3 years of experience/some training may be needed; Advanced 35 years experience/no training needed; Expert 5 years experience/able to train others.

Expert using and/or knowledge and familiarity with a variety of office equipment (e.g. PC Printers Plotters Video conference etc...)
