Job Description

Job Responsibilities: Manager Finance & Admin (Bayfield Food Ingredients)
Financial Management:
  • Oversee all aspects of the accounting cycle including accounts payable & receivable payroll general ledger and financial reporting.
  • Prepare accurate and timely financial statements (balance sheet income statement cash flow statement) according to GAAP standards.
  • Develop and maintain annual budgets and financial forecasts.
  • Conduct variance analysis and provide management with insights for informed decisionmaking.
  • Manage cash flow and ensure the company maintains sufficient liquidity.
  • Oversee accounts payable and receivable functions ensuring timely payments and collections.
  • Implement and maintain internal controls to safeguard financial assets and ensure data integrity.
  • Work with external auditors to ensure a smooth and efficient audit process.
  • Stay uptodate on industry trends and best practices in finance and accounting.
Cost Control & Reduction:
  • Partner with department heads to identify and implement costsaving measures across all functional areas.
  • Develop and implement a standardized expense reporting system to improve expense tracking and cost control.
  • Conduct regular reviews of spending patterns and identify opportunities to reduce costs without impacting quality or efficiency.
  • Negotiate better pricing with vendors and suppliers.
  • Analyze production data to identify and minimize waste.
Administrative Operations:
  • Manage all administrative tasks related to office operations including facilities management
  • Ensure the smooth running of the office environment to support employee productivity.
  • Develop and implement systems and procedures to improve operational efficiency.
  • Manage and maintain company data and records according to best practices.
  • Develop and maintain a positive working relationship with vendors and suppliers.
Regulatory Compliance:
  • Ensure compliance with all relevant financial regulations and reporting requirements.
  • Stay uptodate on changes in accounting standards and taxation laws.
  • Prepare and submit all required financial reports to government agencies on a timely basis.
Financial Reporting & Analysis:
  • Close the books on a monthly basis according to established procedures.
  • Generate accurate and timely financial reports including management reports variance analyses and key performance indicators (KPIs).
  • Analyze financial data to identify trends risks and opportunities.
  • Present financial information to management in a clear and concise manner.
  • Use financial data to support strategic decisionmaking.
Additional Responsibilities:
  • Participate in crossfunctional projects as needed.
  • Represent the finance and admin department in meetings with other departments.
  • Develop and maintain strong relationships with internal stakeholders (e.g. sales operations human resources) and external partners (e.g. banks auditors).
Key Job Deliverables: Manager Finance & Admin (Bayfield Food Ingredients & Associated companies)
Financial Reporting & Analysis:
  • Timely and accurate monthly quarterly and annual financial statements (balance sheet income statement cash flow statement) in accordance with GAAP.
  • Regular variance analysis reports identifying deviations from budget and providing management with actionable insights.
  • Ad hoc financial reports and analyses to support business decisionmaking.
  • Monthend closing procedures completed accurately and efficiently.
Budgeting & Forecasting:
  • Develop and maintain a comprehensive annual operating budget with realistic and achievable targets.
  • Prepare rolling forecasts to anticipate future financial performance.
  • Monitor actual results against budget and forecasts making adjustments as necessary.
  • Present budget and forecast variances to management with clear explanations and recommendations.
Treasury Management & Cash Flow:
  • Manage cash flow effectively to ensure sufficient liquidity to meet financial obligations.
  • Develop and implement strategies to optimize cash flow.

  • Maintain positive relationships with banks and other financial institutions.
Compliance & Regulatory Matters:
  • Ensure compliance with all relevant financial regulations and reporting requirements.

  • Prepare and submit all required financial reports to government agencies on a timely basis.

  • Oversee all administrative tasks related to office operations including facilities management
  • Manage and maintain company data and records according to best practices.
  • Identify and implement costsaving measures in administrative and operational areas.
  • Ensure the smooth running of the office environment to support employee productivity.
Relationship Management:
  • Develop and maintain strong relationships with internal stakeholders across all departments (e.g. sales operations human resources).
  • Serve as a financial advisor to management providing guidance and support on financial matters.
  • Build and maintain positive relationships with external partners such as banks auditors and vendors.
Continuous Improvement:
  • Proactively identify opportunities to improve financial processes and controls.
  • Stay uptodate on industry trends and best practices in finance and accounting.
  • Implement new technologies and tools to enhance efficiency and accuracy in financial operations.
